Luna Vida Retreats – Terms and Conditions

 

Welcome to Luna Vida Retreats! These Terms and Conditions govern your participation in any retreat, workshop, or experience organized by Luna Vida Retreats (“we,” “us,” or “Luna Vida”). By booking or participating in a retreat, you (“Participant,” “you,” or “your”) agree to be bound by these terms. Please read them carefully.

 

Booking and Payment

 

A non-refundable deposit of $1,500 is required to secure your spot.

Full payment is due by the date listed on your booking confirmation or retreat page.

We accept payments via WeTravel, credit card, or other specified methods.

All prices are in USD and subject to change until full payment is received.

Spots are limited, and bookings are confirmed on a first-come, first-served basis upon receipt of the deposit and completed registration.

 

Eligibility and Health

 

Participants must be at least 18 years old (or accompanied by a legal guardian if under 18). You confirm you are in good physical and mental health and have no medical conditions that could interfere with safe participation in the retreat activities (yoga, wellness practices, nature excursions, etc.).

 

We strongly recommend consulting a physician before participating in any physical or wellness activities. Luna Vida Retreats is not responsible for any pre-existing medical conditions or injuries.

 

Travel Insurance (Highly Recommended)

 

We strongly encourage you to purchase comprehensive travel, cancellation, interruption, and medical insurance that covers the full cost of the retreat, international travel, and any activities. Luna Vida Retreats is not responsible for any losses arising from trip cancellations, medical emergencies, delays, or unforeseen events. Insurance protects your investment.

 

Cancellation and Refund Policy

 

Our cancellation policy is designed to balance fairness with the high upfront costs we incur for venues, facilitators, permits, and other non-refundable commitments.

 

Cancellations must be submitted in writing (email to hello@lunavidaretreats.com).

The $1,500 deposit is non-refundable and non-transferable in all circumstances.

Refund schedule applies only to the balance paid beyond the deposit (calculated from the retreat start date):

 

120 days or more prior: 100% refund of the amount paid beyond the deposit.

90–119 days prior: 50% refund of the amount paid beyond the deposit.

60–89 days prior: 25% refund of the amount paid beyond the deposit.

Fewer than 60 days prior, or no-show: No refund of any remaining balance.

 

Special circumstances (serious illness, family emergency, etc.): We may, at our sole discretion, offer a partial refund of the balance (minus any non-recoverable costs). The $1,500 deposit remains non-refundable. Documentation may be required.

 

Transferring your spot: You may transfer your reservation to another person (subject to our approval and any applicable fees) up to 30 days before the retreat start date. The new participant must agree to these Terms and Conditions. The original $1,500 deposit remains non-refundable.

 

If Luna Vida Retreats cancels or reschedules the retreat (for any reason, including low enrollment or unforeseen circumstances): You will receive a full refund of all payments made, including the $1,500 deposit, or the option to transfer 100% of your payment to a future retreat of equal or greater value. We are not responsible for any additional costs you may incur (flights, etc.).

 

All refunds will be processed within 30 business days via the original payment method. Refunds do not include any transaction or processing fees already incurred.

 

Changes or Modifications to the Retreat

 

We reserve the right to make minor changes to the itinerary, facilitators, or activities if necessary (e.g., due to weather, safety, or availability). Significant changes will be communicated as soon as possible. No refunds will be issued for minor adjustments.

 

Liability Waiver and Release

 

By participating, you agree to release, indemnify, and hold harmless Luna Vida Retreats, its owners, facilitators, staff, partners, and affiliates from any and all claims, damages, injuries, or losses arising from your participation, including but not limited to:

 

Personal injury, illness, or death

Property damage or loss

Any acts or omissions by third-party vendors (accommodations, transportation, etc.)

 

You participate at your own risk. Activities may include physical exercise, nature hikes, water-based activities, or other wellness practices that carry inherent risks.

You agree to follow all safety instructions and retreat guidelines. Failure to do so may result in removal from the retreat without refund.

 

 

 

 

Code of Conduct

 

Participants are expected to treat others with respect and maintain a positive, supportive environment. We reserve the right to remove any participant whose behavior disrupts the retreat (no refund issued).

 

Force Majeure

 

We are not liable for any failure or delay in performance due to events beyond our reasonable control, including but not limited to: acts of God, natural disasters, war, terrorism, pandemics, government restrictions, strikes, or venue issues.

 

Privacy

 

Your personal information is handled in accordance with our Privacy Policy [link to your privacy policy].

 

 Governing Law

 

These terms are governed by the laws of the State of North Carolina, United States. Any disputes will be resolved in the appropriate courts there.

 

 Changes to These Terms

By booking with Luna Vida Retreats, you confirm that you have read, understood, and agree to these Terms and Conditions, including the Cancellation Policy and Liability Waiver.
